1. Who is responsible for your data

Bearworks Ltd (trading as Kickio), company number 12215420, registered office Sixth Floor Cavendish Building, 1 Agard Street, Derby, Derbyshire, England, DE1 1DZ, is the data controller for the personal data described here. For any privacy question or request, contact privacy@kickio.com.

2. What we collect

• Account details: email address, username, display name, profile photo and anything else you choose to add to your profile.
• Order details: items bought or sold, delivery address, postage choices, order status and messages relating to an order.
• Payment details: handled by our payment provider. We store the outcome of a payment and a reference, not your full card number.
• Seller payout details: held by our payment provider for sellers who onboard for payouts.
• Listings content: photographs, descriptions and item details you upload.
• Technical data: IP address, device and browser information, and basic logs needed to run and secure the service.
• Security data: the IP address and approximate country used when you sign up and when you sign in, kept for up to 12 months to prevent fraud and account takeover.

3. Why we use it and on what basis

• To perform our contract with you: creating your account, processing orders, arranging postage, paying sellers, handling returns and disputes.
• For our legitimate interests: keeping the marketplace safe, preventing fraud and counterfeits, improving the product, and producing aggregated market data such as the price index.
• To meet legal obligations: tax, accounting and responding to lawful requests.
• With your consent: marketing emails and push notifications, which you can turn off at any time.

4. What is visible to others

Your username, profile photo, public profile content, listings, shop and reviews are visible to other users. Your email address and delivery address are not public. A seller receives the delivery address needed to send your order.

5. Who we share it with

• Our payment provider, for taking payments, issuing refunds and paying sellers.
• Our shipping and label partners, for arranging and tracking delivery.
• Our email and notification providers, for transactional and opt-in messages.
• Our hosting and database providers, for running the service.
• Authorities or advisers where we are legally required to do so.

We do not sell your personal data.

6. How long we keep it

• Account data: while your account is open, then removed or anonymised after closure.
• Order and payment records: kept for as long as tax and accounting law requires.
• Aggregated market and sales data: retained in a form that does not identify you.
• Support correspondence: kept for a reasonable period after the issue is resolved.

7. Your rights

You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or move it elsewhere. You can also withdraw consent for marketing at any time. Email privacy@kickio.com and we will respond within one month. If you are not happy with our response you can complain to the Information Commissioner's Office.

8. Cookies and security

See our Cookie Notice for what we store in your browser. We use encrypted connections, access controls and row-level database permissions so that account data is only reachable by the account it belongs to and by staff who need it to provide support.
